About Tripphilia.com — Nature of Our Services

Tripphilia.com is operated by Hydra Travels Inc., an independent travel agency accredited by the Airlines Reporting Corporation (ARC) under Accreditation Number 45572424. We are not an airline, hotel, cruise line, car rental company, or any other travel service provider. It is critically important that you understand the nature of our role.

As an ARC-accredited travel agency, we are authorized to issue airline tickets on behalf of ARC- participating airlines and to settle transactions through the ARC settlement system. Our ARC accreditation (No. 45572424) is evidence of our compliance with ARC's standards for financial responsibility, operational integrity, and consumer protection.

Our Role as Agent

  • We transmit your booking data and payment to Travel Suppliers through GDS and direct connections
  • We provide customer service support in relation to your bookings
  • We issue travel documentation (e-tickets, vouchers, itineraries) on behalf of or as authorized by Travel Suppliers
  • We are not a party to the underlying contract for carriage or accommodation between you and the Travel Supplier

Supplier Responsibility

Each Travel Supplier is solely responsible for the delivery, quality, and safety of their respective services. The terms and conditions, tariffs, and conditions of carriage of each Travel Supplier govern your rights in relation to the services they provide. We strongly recommend that you review the relevant Supplier's terms before completing your booking.

Booking Process and Confirmation

How Bookings Work

When you initiate a booking on Tripphilia.com, the following process applies:

Step Description Your Responsibility
1. Search and Selection You search for available travel products and select your preferred options. Verify all details including dates, destinations, passenger counts, and fare class before proceeding.
2. Passenger Details Entry You enter passenger information including names (exactly as on passport/ID), dates of birth, passport details, and contact information. Ensure all names and data are accurate. Name errors may result in fees, rebooking costs, or denied boarding.
3. Fare and Fee Review You review the total price including base fare, taxes, fees, and our service charge. Review all charges carefully. By proceeding, you confirm your acceptance of the total cost.
4. Payment Submission You submit payment through our secure payment gateway. Ensure your payment method is valid and has sufficient funds. Payment is processed in real time.
5. Booking Submission We submit your booking request to the relevant Travel Supplier(s) via GDS or direct connection. Your booking is not confirmed until you receive a Booking Reference and confirmation email.
6. Confirmation Upon successful ticketing/reservation, we send you a confirmation email with your Booking Reference and e-ticket or voucher. Save your confirmation. Check all details immediately and notify us within 24 hours of any discrepancies.

Booking Not Confirmed Until Ticketed

A booking is not confirmed, and no contract for travel services exists, until you receive a confirmed Booking Reference and an e-ticket or reservation voucher from us. Payment processing alone does not constitute confirmation. In rare circumstances, a booking may be declined by the Travel Supplier after payment has been processed; in such cases, we will notify you and arrange a full refund of amounts paid to us.

Accuracy of Passenger Information

You are solely responsible for ensuring that all passenger details you provide are accurate and consistent with the government-issued identification documents the passengers will use for travel. Inaccuracies in names, dates of birth, passport numbers, or other mandatory fields may result in:

  • Additional airline or Supplier fees for corrections or reissues
  • Cancellation and rebooking costs
  • Denied boarding at the airport or border
  • Non-refundable ticket loss

We accept no liability for costs or losses arising from inaccurate passenger information provided by you.

Pricing, Fees, and Payment

Fare Pricing

All prices displayed on Tripphilia.com are in US Dollars (USD) unless otherwise stated. Prices include applicable base fares, carrier-imposed surcharges, government and airport taxes, and our booking service fee. Prices are subject to change until full payment has been processed and your booking is confirmed. The same itinerary may be priced differently at different times or on different devices due to dynamic pricing by Travel Suppliers.

Service Fees

Service Fee Category When Applied Amount / Basis
Standard Booking Service Fee Applied to all online bookings Disclosed at checkout prior to payment
Phone Booking Assistance Fee When booking assistance is requested by telephone Disclosed at time of call
Name Correction Fee (Agent-Assisted) For minor name corrections requested through our team Disclosed at time of request; Supplier fees additional

Service fees charged by Tripphilia.com are separate from and in addition to fees charged by Travel Suppliers (including airline change fees, cancellation penalties, and seat selection fees). Service fees paid to us are generally non-refundable unless a booking is cancelled due to our error.

Taxes and Surcharges

Prices include government-imposed taxes, airport fees, and carrier surcharges where known at the time of booking. However, some taxes and fees are only finalized at the time of travel and may change between the time of booking and departure. You may be required to pay additional taxes or fees at the airport or at your destination. We cannot guarantee that all taxes and fees displayed at the time of booking will be final.

Currency Conversion

For international bookings, the final charge to your payment card may differ from the displayed price due to currency conversion rates applied by your card issuer. Tripphilia.com is not responsible for foreign transaction fees or exchange rate fluctuations applied by your bank or card network.

Payment Methods Accepted

  • Major credit cards: Visa, Mastercard, American Express, Discover
  • Debit cards with Visa or Mastercard logo (subject to bank authorization)
  • PayPal
  • Apple Pay and Google Pay (where available on mobile devices)
  • Travel credits and promotional vouchers issued by Tripphilia.com
  • Wire transfers for corporate accounts (by prior arrangement only)

Payment Security

All payment transactions on Tripphilia.com are processed through our PCI-DSS Level 1 compliant payment processing partners. We do not store your full credit card number or CVV on our servers. Our website uses TLS encryption to protect data in transit. Fraudulent card use is illegal and will be reported to relevant authorities.

Airline Tickets — Special Provisions

As an ARC-accredited travel agency (ARC No: 45572424), Tripphilia.com is authorized to issue airline tickets. The following provisions apply specifically to airline ticket bookings made through our Platform.

Conditions of Carriage

Your air travel is governed by the conditions of carriage of the operating airline, which form a separate contractual relationship between you and the airline. These conditions cover, among other things: your rights in the event of delays, cancellations, denied boarding, and baggage loss or damage. By accepting your booking confirmation, you agree to be bound by the relevant airline's conditions of carriage, which are available on the respective airline's website.

Fare Rules and Restrictions

Fare Type Change Allowed? Cancellation Allowed? Refundability Notes
Non-Refundable / Restricted Sometimes, with fee Sometimes, with fee No cash refund; travel credit may be issued Most basic economy fares fall in this category
Partially Refundable Yes, with fee Yes, with fee Partial refund minus penalties Refund amount depends on fare rules
Fully Refundable / Flexible Yes, minimal or no fee Yes, minimal or no fee Full refund to original payment method Typically higher initial fare price
Award / Miles Tickets Subject to loyalty program rules Subject to loyalty program rules Miles reinstatement fees may apply Booked through airline loyalty programs

Fare rules are set by the airline, not by Tripphilia.com. We will communicate applicable fare restrictions to you at the time of booking. It is your responsibility to read and understand the fare rules of your chosen ticket before completing your purchase.

Ticketing Deadline

Certain fares have strict ticketing deadlines (the time by which payment and ticket issuance must be completed). If payment is not completed before the ticketing deadline, the fare may no longer be available and a different (potentially higher) fare may apply. We will make commercially reasonable efforts to notify you of upcoming ticketing deadlines.

Schedule Changes and Airline Cancellations

Airlines may modify flight schedules, cancel flights, or make other operational changes at any time. Tripphilia.com is not responsible for airline-imposed schedule changes or cancellations. Our obligations in the event of such changes are limited to:

  • Notifying you of significant changes as soon as we are made aware of them
  • Facilitating communication between you and the airline regarding rebooking options
  • Providing reasonable assistance in processing airline-offered alternatives

Your rights in the event of airline cancellations or significant delays are determined by the airline's conditions of carriage and applicable passenger protection laws (e.g., EC 261/2004 for flights within/from the EU). Refund or rebooking entitlements are provided by the airline, not by Tripphilia.com.

Interline and Code-Share Flights

Some itineraries involve interline connections or code-share flights operated by airlines different from the marketing carrier. Different baggage policies, check-in requirements, and conditions of carriage may apply across connecting segments. You are responsible for ensuring you meet the requirements of all operating carriers in your itinerary.

Reconfirmation of Flights

While most airlines no longer require advance reconfirmation, we strongly recommend that you contact the airline directly or check the airline's website within 72 hours of departure to confirm your flight status, seat assignment, and any operational changes.

Changes, Cancellations, and Refunds

Customer-Initiated Changes

If you wish to make changes to a confirmed booking (e.g., date changes, destination changes, passenger name corrections), the following applies:

  • All change requests must be submitted to us in writing via [Email Address] or through your account on Tripphilia.com
  • Changes are subject to availability and the fare rules of the relevant Travel Supplier
  • Airline change fees, fare differences, and our change processing fee (see Section 5.2) will apply
  • Changes are not confirmed until we have re-issued documentation and you have received written confirmation from us
  • Some fare types do not permit changes — the original ticket must be cancelled (with any applicable penalty) and a new ticket purchased

Customer-Initiated Cancellations

Cancellation requests must be submitted in writing to [Email Address] or through your account portal. The following cancellation framework applies:

Time Before Departure Cancellation Treatment Refund Timeline
More than 72 hours (non-refundable fare) Cancellation processed; airline may offer travel credit per their policy; our service fee is non-refundable Travel credit issued within 7–14 business days of airline confirmation
More than 72 hours (refundable fare) Full refund of base fare and taxes, less airline penalty and our service fee Refund to original payment method within 7–20 business days
Within 24 hours of booking (DOT Rule) Full refund required for tickets to/from the US with travel 7+ days away, per DOT regulations Refund within 7 business days for credit card payments
Less than 72 hours before departure Refund subject to airline's fare rules; in most cases non-refundable fares are forfeited Per airline's policy
No-show (failure to board) Fare is generally fully forfeited; return segments may be automatically cancelled by the airline No refund in most cases

DOT 24-Hour Refund Rule

In accordance with US Department of Transportation (DOT) regulations, for airline tickets purchased at least seven (7) days before the scheduled departure date for flights originating from or to the United States, you may cancel your reservation within twenty-four (24) hours of booking and receive a full refund without penalty. This rule applies only to direct bookings. We comply fully with this regulation.

Refund Processing

  • All refund requests are processed on your behalf with the relevant Travel Supplier and are subject to the Supplier's refund timelines and policies
  • Airline refunds typically take 7–20 business days to appear on your original payment method after the airline has approved the refund
  • Hotel, car rental, and tour operator refunds are subject to the specific Supplier's cancellation policy confirmed at the time of booking
  • Our Service Fee is non-refundable in all circumstances, except where a cancellation is due solely to our error
  • We will not refund any booking that cannot be cancelled due to fare rules, even if the reason for cancellation is illness, accident, or other emergency (travel insurance is strongly recommended)

Supplier-Initiated Cancellations

If a Travel Supplier cancels a confirmed booking for reasons attributable to them (e.g., an airline cancels a flight), your rights to a refund or alternative arrangements are determined by the Supplier's policies and applicable laws. We will facilitate communication and processing of any refund or rebooking on your behalf, but we do not guarantee that refunds or alternatives will be provided, as this is the Supplier's obligation.

Travel Documentation and Entry Requirements

Your Responsibility

You are solely responsible for ensuring that you and all members of your party possess valid and appropriate travel documentation for all points of departure, transit, and destination. This includes, but is not limited to:

  • A valid passport with sufficient remaining validity (many countries require a minimum of 6 months beyond your return date)
  • Valid visas for all countries in your itinerary, including transit visas
  • Re-entry permits or visas for your home country
  • Electronic Travel Authorizations (ETAs) or eVisas where required (e.g., ESTA for the US, eTA for Canada, UK ETA)
  • Vaccination certificates and health declarations where required by law or airline policy
  • Required travel insurance documentation where mandated by the destination country
  • Parental consent letters for minors traveling without one or both parents

Visa and Entry Advice

While we may provide general information about common entry requirements as a courtesy, such information is not comprehensive, is not legal advice, and may not reflect recent changes in immigration law. You must independently verify all entry requirements through the official embassy or consulate of every country in your itinerary, or through a qualified immigration professional.

Tripphilia.com accepts no responsibility for denied boarding, denied entry, or any costs, losses, or consequences arising from your failure to obtain appropriate travel documentation.

Name Accuracy on Travel Documents

All passenger names on bookings must be entered exactly as they appear on the government-issued identification document (passport) that will be used for travel. Even minor discrepancies (e.g., a missing middle name, a hyphenated surname entered without a hyphen) may cause problems at check-in or border control. Name correction fees are the passenger's responsibility (see Section 5.2).

Travel Insurance

Tripphilia.com strongly recommends that all customers purchase comprehensive travel insurance at the time of booking. Travel can involve unpredictable events — medical emergencies, trip cancellations, baggage loss, travel delays, and natural disasters — that can result in significant financial loss without appropriate insurance coverage.

Recommended Coverage

Coverage Type What It Covers Why It Matters
Trip Cancellation / Interruption Non-refundable costs if you must cancel or cut short your trip due to covered reasons (illness, death in family, etc.) Protects your investment in non-refundable fares and accommodation
Medical / Emergency Evacuation Emergency medical treatment and medical evacuation abroad Your domestic health insurance may not cover you overseas
Baggage Loss / Delay Reimbursement for lost, stolen, or delayed luggage Airline liability for lost baggage is limited
Travel Delay Expenses from significant travel delays (meals, accommodation) Common occurrence with limited airline compensation
Cancel for Any Reason (CFAR) Optional upgrade to cancel for any reason, typically 50–75% refund Maximum flexibility for uncertain travel plans
COVID-19 / Pandemic Coverage Coverage for COVID-related cancellations, quarantine costs, and medical treatment Not always included — verify policy terms

Where Tripphilia.com facilitates the sale of travel insurance products, those products are underwritten by independent insurance companies. Your rights and remedies under an insurance policy are governed by the policy document and the insurer's terms, not by Tripphilia.com. We act only as a facilitating agent for insurance sales.

Packages and Bundled Products

Non-ATOL/ATPCO Packaged Travel

Certain combinations of travel products offered on Tripphilia.com may constitute a 'package' as defined under applicable law (e.g., the European Package Travel Directive or US state law equivalents). Where such packages are sold, Tripphilia.com or the relevant Supplier will provide appropriate consumer protection disclosures and protections required by law.

Dynamic Packaging

Some users create their own combination of travel products (flight + hotel + car rental) through our platform. Unless these are sold as a defined package under our package terms, each component constitutes a separate booking with the relevant Supplier, and cancellation of one component does not automatically cancel others. You are responsible for managing each component of a self-assembled itinerary independently.
